Abstract

Latar Belakang: Dengan pesatnya perkembangan pada sektor bisnis mengakibatkan tingginya tingkat persaingan antar bisnis. PT XYZ, sebuah perusahaan retail yang melayani penjualan serta layanan purna jual untuk perangkat keras dan sistem Automation Identification & Data Capturing (AIDC), merupakan perusahaan yang masih dalam tahap berkembang dan belum memiliki dokumen SOP yang relevan. Oleh karena itu, PT XYZ perlu untuk melakukan perbaikan pada proses bisnisnya untuk tetap bisa bersaing di pasar. Permasalahan: PT XYZ mengalami kesulitan dalam bersaing dengan para kompetitornya dikarenakan tingginya harga perolehan produk. Hal ini disebabkan oleh beberapa faktor, termasuk kesulitan dalam menganalisis data yang tidak terstruktur, proses bisnis yang tidak efisien, kurangnya forecasting, dan tidak adanya gudang terpusat. Tujuan: Tujuan peneltian ini diharapkan dapat memberikan prototipe otomatisasi proses bisnis procure-to-pay sehingga pelacakan dan analisis data menjadi lebih mudah, mengurangi kesalahan manual, meningkatkan efisiensi, memastikan konsistensi eksekusi proses, dan transparansi operasional PT XYZ akan meningkat. Metode: Tahapan dalam mengerjakan tugas akhir ini berpedoman pada metode BPM Lifecycle. Proses bisnis as-is didokumentasikan menggunakan BPMN berdasarkan wawancara dengan manajer divisi LPSC. Analisis proses bisnis dilakukan dengan pendekatan kualitatif menggunakan metode value-added analysis dan root cause analysis. Implementasi proses menggunakan BPMS berupa ProcessMaker Community Edition versi 3.2.1-0. Pengujian dilakukan dengan melakukan verifikasi dan validasi. Hasil: Proses bisnis to-be "procure to pay" diotomatisasi menggunakan BPMS berupa ProcessMaker yang dikoneksikan dengan database eksternal MySQL untuk mendukung eksekusi proses yang lebih terstruktur dan terdokumentasi dengan baik. Manfaat: Penelitian tugas akhir ini memiliki manfaat secara teoritis maupun secara praktis. Pada manfaat teoritis penelitian ini dapat memberikan wawasan terkait penerapan siklus hidup BPM dan pembuatan BPMS berupa ProcessMaker pada sebuah perusahaan yang masih berkembang dan belum terdigitalisasi. Sedangkan, manfaat praktis berupa prototipe otomatisasi proses bisnis procure-to-pay.

Background: The rapid development in the business sector has led to high competition among businesses. PT XYZ, a retail company that sells and provides after-sales services for hardware and Automation Identification & Data Capturing (AIDC) systems, is a company still in the growth stage and lacks relevant SOP documents. Therefore, PT XYZ needs to improve its business processes to remain competitive in the market. Problem: PT XYZ faces difficulties in competing with its competitors due to the high procurement costs. This is caused by several factors, including difficulty in analyzing unstructured data, inefficient business processes, lack of forecasting, and the absence of a centralized warehouse. Purpose: This research aims to provide a prototype for the automation of the procure-to-pay business process, making data tracking and analysis easier, reducing manual errors, increasing efficiency, ensuring process execution consistency, and improving operational transparency at PT XYZ. Methods: The final project follows the BPM Lifecycle method. The as-is business process was documented using BPMN based on interviews with the manager of the LPSC division. The business process analysis was conducted qualitatively using value-added analysis and root cause analysis methods. The process implementation uses BPMS in the form of ProcessMaker Community Edition version 3.2.1-0. Testing was conducted through verification and validation. Results: The to-be "procure to pay" business process was automated using BPMS in the form of ProcessMaker, connected to an external MySQL database to support a more structured and well-documented process execution. Benefits: This final project research has both theoretical and practical benefits. Theoretically, it provides insights into the application of the BPM lifecycle and the creation of BPMS using ProcessMaker in a developing and non-digitalized company. Practically, it offers a prototype for the automation of the procure-to-pay business process.
