Abstract

Latar Belakang: Di era digitalisasi yang berkembang pesat, transformasi digital menjadi keharusan bagi perusahaan yang ingin tetap kompetitif dan relevan. PT XYZ, perusahaan terkemuka di Indonesia dalam produksi cetak kartu, mengelola Surat Perintah Kerja (SPK) secara manual dengan dokumen kertas dan tanda tangan fisik, yang menyebabkan ketidakefisienan dan keterlambatan. Oleh karena itu, PT XYZ menyadari akan perbaikan proses bisnisnya yang beralih ke digital. Permasalahan: Ketidakefisienan proses produksi di PT XYZ yang disebabkan oleh penggunaan metode manual dalam pengelolaan Surat Perintah Kerja (SPK), yang melibatkan dokumen kertas dan tanda tangan fisik untuk persetujuan. Untuk mengatasi masalah ini, diperlukan otomatisasi sistem workflow approval berbasis digital yang dapat mempercepat proses dan mengurangi kesalahan. Tujuan: Tujuan utama tugas akhir ini adalah merancang dan mengimplementasikan prototipe sistem workflow approval digital untuk proses Surat Perintah Kerja (SPK) di PT XYZ menggunakan perangkat lunak Business Process Management System (BPMS) berbasis web, ProcessMaker. Dengan sistem tersebut, diharapkan dapat mempercepat proses, mengurangi kesalahan, dan meningkatkan efisiensi. Metode: Tahapan yang dilalui dalam mengerjakan tugas akhir ini yaitu dengan menggunakan metode BPM Lifecycle yang dimulai dari penemuan proses hingga implementasi proses. Proses analisis yang dilakukan menggunakan metode root cause analysis dan value added analysis. Setelah itu, implementasi proses bisnis to-be yang dihasilkan menggunakan BPMS berupa ProcessMaker. Hasil: Hasil yang didapat dalam penelitian ini adalah dokumentasi proses bisnis as-is dan to-be dari hasil perbaikan. Selain itu, Proses bisnis “to-be” diotomatisasi menggunakan tools BPMS berupa ProcessMaker untuk membantu tugas-tugas yang masih manual. Manfaat: Pelaksanaan penelitian ini dapat memberikan manfaat teoritis dan juga praktis. Manfaat teoritis terkait penggunaan metode Business Process Lifecyle untuk mengidentifikasi proses yang dapat dioptimalkan sehingga dapat meningkatkan efisiensi waktu siklus pada perusahaan dan meminimalkan risiko kesalahan manusia. Sedangkan manfaat praktis berupa prototipe sistem otomotisasi pada proses bisnis produksi. Background: In the era of rapidly developing digitalization, digital transformation is a necessity for companies that want to remain competitive and relevant. PT Therefore, PT XYZ is aware of improving its business processes by switching to digital. Problem: Inefficiency of the production process at PT XYZ caused by the use of manual methods in managing Work Orders (SPK), which involve paper documents and physical signatures for approval. To overcome this problem, digital-based workflow approval system automation is needed which can speed up the process and reduce errors. Objective: The main objective of this final assignment is to design and implement a prototype digital workflow approval system for the Work Order (SPK) process at PT XYZ using web-based Business Process Management System (BPMS) software, ProcessMaker. With this system, it is hoped that it can speed up the process, reduce errors and increase efficiency. Method: The stages followed in carrying out this final assignment are by using the BPM Lifecycle method which starts from process discovery to process implementation. The analysis process was carried out using the root cause analysis and value added analysis methods. After that, the implementation of the resulting to-be business process uses BPMS in the form of ProcessMaker. Results: The results obtained in this research are documentation of as-is and to-be business processes from the results of improvements. Apart from that, "to-be" business processes are automated using BPMS tools in the form of ProcessMaker to help with tasks that are still manual. Benefits: Carrying out this research can provide theoretical and practical benefits. Theoretical benefits related to using the Business Process Lifecycle method to identify processes that can be optimized so as to increase cycle time efficiency in the company and minimize the risk of human error. Meanwhile, the practical benefit is in the form of a prototype automation system in production business processes.
