Abstract

The project monitoring system used at PT TEC has transformed manual and conventional methods into a cloud-storage-based system. However, the model of this system is still considered inadequate, as it often fails to provide accurate and comprehensive real-time data. This hinders timely data-driven decision-making due to delays in information access, data inconsistencies, interface complexity, slow performance, adaptation challenges, and integration issues. Furthermore, the system model remains ineffective, as indicated by user satisfaction feedback on the project monitoring system, showing work delays with a weight factor of 23% and cost overruns in procurement reaching up to 1.2 times the initial budget. Ultimately, this situation can lead to company losses. This research aims to analyze user team needs and design improvements to the project monitoring system model using an integrated combination of Quality Function Deployment (QFD) and Lean Six Sigma (LSS) methods. The study produced a prototype model of an integrated EPC project monitoring system, designed based on user needs, focusing on three improvement priorities: the Real-Time Mailing Distribution System, Document Tracking System, and User Monitoring Application. These improvements enhance information distribution capabilities, document tracking, and intuitive monitoring. The study results demonstrate that this system can improve interdisciplinary collaboration, and decision quality, and support the design of more informative workflows with a focus on value-added activities. Additionally, the system is designed to facilitate real-time data as a basis for strategic decision-making and support the creation of an adaptive and synergistic work ecosystem. Thus, the designed system prototype is expected to serve as a foundation for the company to pursue continuous improvement, support operations, and enhance project execution effectiveness.
