Abstract

Perkembangan teknologi menuntut perusahaan untuk terus beradaptasi agar tetap kompetitif. PT XYZ telah menerapkan otomatisasi proses pengajuan pengadaan sejak April 2024 untuk meningkatkan efisiensi dan mengurangi beban kerja manual. Namun, implementasi otomatisasi yang belum optimal menyebabkan target penyelesaian pengadaan dalam 14 hari belum tercapai, sehingga diperlukan evaluasi terhadap otomatisasi proses tersebut. Otomatisasi yang berjalan kurang optimal menyebabkan rata-rata penyelesaian pengadaan masih belum mencapai target, yaitu rata-rata 22 hari per kasus, dan hanya 57% permintaan yang selesai. Hal ini dipengaruhi oleh kendala teknis, implementasi sistem yang kurang sesuai dengan kebutuhan serta masih adanya aktivitas manual. Penelitian ini bertujuan untuk mengevaluasi dan memperbaiki permasalahan proses bisnis pengajuan pengadaan di PT XYZ menggunakan pendekatan siklus hidup Business Process Management (BPM), serta mengimplementasikan otomatisasi proses menggunakan Microsoft Power Automate dan Power Apps yang terintegrasi dengan Office 365. Penelitian ini mengikuti tahapan siklus hidup BPM, mulai dari penemuan, analisis, rancang ulang, hingga implementasi proses. Proses as-is dianalisis melalui wawancara dan observasi, dilanjutkan dengan Root-Cause Analysis, Value-Added Analysis, dan penggunaan heuristik rancang ulang untuk mengidentifikasi masalah dan peluang perbaikan. Model to-be kemudian dirancang dan diimplementasikan menggunakan Power Apps dan Power Automate, serta diuji melalui verifikasi, validasi, dan perbandingan efisiensi antara data historic as-is dan hasil pengujian to-be secara deskriptif. Otomatisasi proses to-be dirancang menyesuaikan kebutuhan proses dan pengguna dengan menghilangkan aktivitas manual dan non-value added serta mengubah urutan tahap aktivitas yang sebelumnya menjadi hambatan efisiensi. Di samping itu, dilakukan integrasi database agar pencatatan terpusat dan akurat. Perbandingan waktu proses juga mengindikasikan bahwa sistem otomatisasi yang baru mampu memberikan potensi kenaikan efisiensi waktu bagi PT XYZ. Secara teoritis diharapkan dapat memperkaya studi mengenai evaluasi otomatisasi proses bisnis berbasis BPM di penelitian selanjutnya. Secara praktis, diharapkan mampu memberi solusi atas permasalahan efisiensi pengadaan di PT XYZ dengan diberikannya dokumentasi model as-is dan to-be serta prototipe otomatisasi proses yang siap digunakan

Technological developments require companies to continuously adapt to remain competitive. PT XYZ has implemented procurement submission process automation since April 2024 to improve efficiency and reduce manual workload. However, the suboptimal implementation of automation has resulted in the procurement completion target of 14 days not being achieved, necessitating an evaluation of the automation process. Suboptimal automation results in the average procurement completion time still falling short of the target, averaging 22 days per case, and only 57% of requests being completed. This is influenced by technical constraints, system implementation that does not meet requirements, and the persistence of manual activities. This study aims to evaluate and improve the procurement submission business process problems at PT XYZ using a Business Process Management (BPM) lifecycle approach, and implement process automation using Microsoft Power Automate and Power Apps integrated with Office 365. This study follows the stages of the BPM lifecycle, from discovery, analysis, redesign, to process implementation. The as-is process is analyzed through interviews and observations, followed by Root-Cause Analysis, Value-Added Analysis, and the use of redesign heuristics to identify problems and improvement opportunities. The to-be model was then designed and implemented using Power Apps and Power Automate, and tested through verification, validation, and efficiency comparison between historical as-is data and descriptive to-be test results. The automation of the to-be process was designed to adapt to process and user needs by eliminating manual and non-value-added activities and changing the sequence of activity stages that previously hampered efficiency. In addition, database integration was carried out to ensure centralized and accurate recording. The comparison of process times also indicated that the new automation system could potentially increase time efficiency for PT XYZ. Theoretically, it is expected to enrich studies on the evaluation of BPM-based business process automation in future research. Practically, it is expected to provide solutions to procurement efficiency problems at PT XYZ by providing documentation of the as-is and to-be models and a ready-to-use process automation prototype
