Abstract

The digital transformation and the COVID-19 pandemic have accelerated the adoption of virtual teams in the information technology (IT) industry. This work model presents significant challenges for implementing Agile methodologies, which were fundamentally designed for co-located teams where face-to-face communication is a core element. This study aims to identify and analyze the strategies used to apply Agile in IT projects with virtual teams and to formulate recommendations that support successful implementation. This research uses a qualitative approach with a phenomenological design to understand the practitioners' in-depth experiences in implementing agile in a virtual environment. Data collection was conducted through in-depth interviews with agile practitioners who have worked in virtual teams for at least three months. Participants were selected using purposive and snowball sampling techniques to reach individuals who have relevant experiences with the phenomenon under study. Data analysis used a combination of thematic analysis and sentiment analysis with VADER to gain a comprehensive understanding of the participants' experiences. The results identified a comprehensive set of adaptive strategies. Virtual teams successfully managed communication proactively by carefully selecting synchronous and asynchronous modes. This practice is supported by disciplined documentation and precise written communication. Effective scheduling management makes strategic use of overlap time and workflow design that accommodates asynchronous response cycles. Positive team dynamics are built on mutual trust and high autonomy, reinforced by conscious efforts to build cohesion. Agile ceremonies are flexibly adapted in their frequency, format and formality, according to contextual needs. Systematic knowledge management, participatory decision-making and agile problem-solving are other pillars of success. Optimal application of agile to IT project management with virtual teams is achieved through the integration of identified adaptive strategies. Optimality is achieved when teams consciously address the challenges of the virtual environment with flexibility. Teams build a foundation of trust and autonomy and prioritize effective communication and systematic knowledge management. This research successfully formulated comprehensive and relevant strategy recommendations, providing practical guidance for organizations to improve IT project success in a virtual work environment.
