Abstract

Direktorat Pengembangan Akademik dan Inovasi Pembelajaran ITS memerlukan sistem yang efisien untuk menangani administrasi kegiatan seperti seminar dan pelatihan. Untuk itu, dikembangkan dua alur otomatisasi menggunakan Microsoft Power Automate, yaitu: (1) alur pembuatan dan pengiriman sertifikat partisipasi, dan (2) alur pengiriman email informasi acara. Alur terhubung dengan Microsoft Forms, SharePoint, OneDrive, dan Outlook untuk memproses data peserta, mengisi templat sertifikat, mengonversi ke PDF, dan mengirimkan email secara otomatis. Sistem ini ditujukan untuk panitia acara agar dapat mengurangi pekerjaan manual dan mempercepat proses distribusi dokumen. Penulis bertugas merancang, membangun, dan menguji sistem agar dapat diandalkan dan mudah digunakan kembali untuk berbagai kegiatan.

The Directorate for Academic Development and Learning Innovation at ITS requires an efficient system to handle administrative tasks for academic events such as seminars and trainings. To support this need, two automation flows were developed using Microsoft Power Automate: (1) a flow for generating and sending participation certificates, and (2) a flow for sending event information emails. These flows integrate Microsoft Forms, SharePoint, OneDrive, and Outlook to process participant data, fill in certificate templates, convert them to PDF, and send them via email automatically. The system is intended to assist event organizers by reducing manual work and accelerating document distribution. The author was responsible for designing, building, and testing the flows to ensure they are reliable and reusable for future events.
