Abstract
PT. XYZ merupakan perusahaan manufaktur yang bergerak di bidang produksi kosmetik. Salah satu proses yang menunjang kegiatan operasional perusahaan adalah proses pengajuan pengadaan. Untuk memenuhi sebuah permintaan akan persediaan pengadaan maka perlu adanya pengajuan pengadaan. Selama ini, proses pengajuan pengadaan yang dilakukan masih menggunakan kertas sebagai formulir dan membutuhkan persetujuan dari berbagai pihak, sehingga proses menjadi lama karena harus menunggu penyerahan ke beberapa level antarpihak terkait. Penyerahan formulir secara handover menyebabkan tidak adanya record sehingga tidak dapat dilakukan pemantauan untuk melacak mengenai kondisi proses terkini. Hal ini membuat proses pengajuan pengadaan menjadi tidak terintegrasi dan tidak bisa melakukan pelacakan (traceability) pada setiap aktivitas. Selain itu, perekapan dan pencatatan data mengenai riwayat pengajuan pengadaan dilakukan menggunakan Microsoft Excel, sehingga pemindahan data yang dilakukan secara manual, beresiko terjadinya human error.
Untuk mengatasi permasalahan tersebut, maka perlu dilakukan otomatisasi proses bisnis pengadaan. Tahap awal untuk melakukan otomatisasi ini adalah memodelkan proses bisnis saat ini. Selanjutnya, dilakukan tahap otomatisasi diantaranya: mengidentifikasi batasan otomasi, meninjau task manual, melengkapi model proses, membawa model proses ke tingkat granularitas yang memadai, dan menentukan properti eksekusi. Pada tahap akhir dilakukan pengujian sistem yaitu verifikasi dan validasi. Dengan cara mengalirkan case dan memberi feedback. Otomatisasi proses ini menggunakan tools ProcessMaker. Software tersebut dirancang untuk menyelesaikan masalah menggunakan pendekatan proses dengan pemodelan Business Process Modelling Notation (BPMN).
Hasil dari tugas akhir ini adalah otomatisasi berbasis proses dengan pendekatan Workflow Management System (WFMS). Otomatisasi proses pengajuan pengadaan ini memungkinkan untuk melacak (traceability) pada setiap aktivitas di proses pengadaan, melakukan pengisian, persetujuan, dan perekapan data proses pengajuan pengadaan.

PT. XYZ is a manufacturing company engaged in the production of cosmetics. One of the processes that support the company's operational activities is the procurement submission process. To fulfill a demand for procurement supplies, it is necessary to propose procurement. During this time, the procurement submission process that is carried out still uses paper as a form and requires approval from various parties, so the process takes a long time because it has to wait for submission to several levels between departments. Submission of forms that are still manual causes no records so that monitoring cannot be carried out regarding the current process conditions. In addition, the recording of data regarding the procurement filing history of procurement needs is also inputted using Microsoft Excel, not even all the procurement filing history is recorded. This makes the procurement submission process not integrated and cannot traceability on every activity.
To overcome these problems, it is necessary to automate the procurement business process. The initial stage to do this automation is to model the current business processes. Next, the automation phase includes: identifying automation boundaries, reviewing the task manually, completing the process model, bringing the process model to an adequate level of granularity, and determining the execution property. In the final stage the system testing is done, namely verification and validation. By flowing the case and giving feedback. Automate this process using ProcessMaker tools. The software is designed to solve problems using a process approach with Business Process Modeling Nation (BPMN) modeling.
The result of this final project is process-based automation with the Workflow Management System (WFMS) approach. The automation of the procurement submission process makes it possible to reduce the waiting time for submission, trace (traceability) on every activity in the procurement process, fill out, approve and record data on the procurement requirements submission process.
