Abstract

ERP merupakan sistem yang perlu diperbarui secara berkala untuk memperbaiki bug, memperketat keamanan, memperluas fungsionalitas atau modul yang sudah ada. Oleh karena itu, PT Sun Artha Putra Mandiri berencana melakukan re-implementasi ERP Acumatica dari versi 2020 R1 ke 2021 R1 dengan harapan memeroleh dampak yang jauh lebih baik terhadap efisiensi proses bisnis perusahaan. Namun fakta di lapangan menunjukkan bahwa banyak dari implementasi ERP gagal mencapai target yang diharapkan karena kurang tepatnya requirement yang didefinisikan sebelum implementasi dilakukan. Oleh sebab itu, pada penelitian tugas akhir ini perlu dilakukan perencanaan dengan baik dan tepat sehingga implementasi ERP bisa mencapai target, yaitu selesai hingga implementasi. Penelitian ini dilakukan meggunakan metode 5-Stages ERP Implementation dalam waktu 4 bulan yang berlandaskan pada penelitian di proyek yang serupa sebelumnya. Metode tersebut terdiri atas lima tahap, yaitu Project Preparation, Business Blueprint, Realization, Final Preparation dan Go Live and Support. Selama proses tersebut akan menghasilkan beberapa dokumen keluaran, yaitu Business Requirement Mapping (BRM), Acumatica Change Request (ACR), serta User Acceptance Test (UAT). BRM disusun sesuai dengan Model-based Engineering Methods yang berdasar pada analisis fit gap. Business Blueprint bertujuan untuk menjelaskan komponen yang perlu dikerjakan dalam implementasi ERP melalui analisis kesenjangan atau fit gap. Hal utama yang dibahas dalam analisis kesenjangan adalah perbedaan sistem baru dengan sistem lama, serta ada atau tidaknya kesenjangan antara sistem baru dengan target pemenuhan kebutuhan perusahaan. Dari analisis tersebut diperoleh bahwa terdapat dua komponen yang mempunyai kesenjangan sehingga perlu dikustomisasi, yaitu pelaporan analisis keuangan Profit and Loss by Product dan Efaktur. Setiap konfigurasi dan kustomisasi yang perlu dilakukan dijelaskan secara detail pada bagian rancangan konfigurasi dan kustomisasi ERP Acumatica. Seluruh proses pengerjaan ERP Acumatica dilakukan sesuai dengan rancangan yang telah dibuat. Setelah itu, dilakukan uji coba sistem menggunakan UAT oleh perwakilan dari perusahaan hingga keseluruhan sistem sudah dipastikan dapat bekerja dengan baik sesuai dengan sekenario yang ditetapkan. Hasil dari UAT tersebut menunjukkan bahwa seluruh sistem dapat digunakan sesuai dengan kebutuhan aktivitas bisnis perusahaan serta bisa terintegrasi dengan modul lainnya, yaitu Customer Relationship Management dan Sales and Distribution Management.

ERP is a system that needs to be updated regularly to fix bugs, improve functionality, or existing modules. Therefore, PT Sun Artha Putra Mandiri plans to re-implement the Acumatica ERP from the 2020 R1 version to the 2021 R1 with the hope of getting a much better impact on the company's business efficiency processes. However, the facts on the ground show that many ERP implementations fail to achieve the expected targets due to the lack of precise requirements defined before implementation. Therefore, in this final project, it is necessary to plan properly and precisely so that ERP implementation can achieve the target, which is complete until implementation. This research was conducted using the 5-Stages ERP Implementation method within 4 months based on research in previous similar projects. The method consists of five stages, namely Project Preparation, Business Blueprint, Realization, Final Preparation and Go Live and Support. During the process, several output documents will be produced, namely Business Requirement Mapping (BRM), Acumatica Change Request (ACR), and User Acceptance Test (UAT). BRM is structured according to Model-based Engineering Methods which is based on fit gap analysis. The Business Blueprint aims to explain the components that need to be worked on in ERP implementation through gap analysis or fit gaps. The main things discussed in the analysis are the differences between the new system and the old system, as well as whether or not there is a difference between the new system and the target company's needs. From this analysis, it is found that there are two components that have the need to be customized, namely the financial reporting of Product Profit and Loss and Efaktur. Every configuration and customization that needs to be done is explained in detail in the Acumatica ERP configuration and customization design section. The entire Acumatica ERP work process is carried out according to the design that has been made. After that, a system trial using UAT was carried out by representatives from the company until the entire system was confirmed to work properly according to the scenario set out. The results of the UAT show that the entire system can be used according to the needs of the company's business activities and can be integrated with other modules, Customer Relationship Management and Sales and Distribution Management.
