Abstract

Konteks: PT XYZ merupakan suatu perusahaan manufaktur yang berfokus pada produksi permen jahe berkualitas tinggi. PT XYZ menerapkan Workflow Management System (WfMS) dengan menggunakan tools ProcessMaker untuk mengotomatisasi pekerjaan. Penerapan WfMS diharapkan dapat menjadikan proses bisnis lebih efektif dan efisien. Saat ini, evaluasi terhadap implementasi WfMS hanya dilakukan dari sisi operasional dalam bentuk simulasi.
Permasalahan: Penelitian ini berangkat dari sebuah permasalahan yakni perbedaan hasil simulasi pada masing – masing proses bisnis meskipun simulasi dilaksanakan menggunakan WfMS yang sama. Hal ini mendorong penulis untuk memperluas cakupan analisis guna mengetahui keberhasilan implementasi WfMS. Untuk menghasilkan analisis yang lebih komprehensif, penulis mempertimbangkan faktor pengguna selaku penerima manfaat teknologi. Sehingga, penting untuk mengevaluasi faktor - faktor yang memengaruhi ataupun tidak memengaruhi kepuasan pengguna PT XYZ terhadap implementasi WfMS ProcessMaker.
Tujuan: Penelitian tugas akhir ini bertujuan untuk menganalisis dan membentuk rekomendasi atas faktor – faktor yang memengaruhi dan tidak memengaruhi kepuasan pengguna PT XYZ terhadap implementasi WfMS ProcessMaker dengan menggunakan model riset studi milik Poelmans et al dan dianalisis menggunakan metode Partial Least Square - Structural Equation Modeling (PLS-SEM). Metode analisis ini digunakan karena mampu menguji hipotesis mengenai relasi antara variabel laten dan variabel observed, tidak memerlukan data yang terdistribusi normal dan dapat mengolah data berjumlah dibawah 200 data.
Metode: Tahapan pengerjaan dari tugas akhir ini diawali dengan pilot testing, kemudian dilanjutkan dengan penyebaran kuesioner secara daring dan pertemuaan daring. Data yang telah dikumpulkan diolah dengan menggunakan SPSS dan SmartPLS dan dihubungkan dengan model penelitian.
Hasil: Dari hasil analisis yang telah dilakukan, ditemukan bahwa secara umum WfMS ProcessMaker telah memenuhi persyaratan informasi yang diperlukan untuk kepuasan pengguna. Didapatkan kualitas input merupakan variabel yang paling berpengaruh positif dan signifikan terhadap kualitas sistem dibandingkan atribut spesifik WfMS dan atribut umum sistem. Kemanfaatan dari penggunaan sistem ditentukan oleh kualitas informasi dan kualitas sistem. Kemanfaatan dari penggunaan sistem juga menjadi variabel yang memengaruhi kepuasan, bersama dengan variabel kualitas informasi dan kualitas sistem. Namun pada penelitian ini ditemukan bahwa didapatkan nilai yang tidak berpengaruh pada kualitas layanan dan intensitas penggunaan WfMS . Variabel ini merupakan variabel yang terkait secara langsung dengan pengguna sehingga seharusnya dapat meningkatkan kepuasan pengguna. Maka rekomendasi yang diusukan penulis adalah untuk melibatkan pengguna dalam desain proses serta memberikan pelatihan dan tim support untuk meningkatkan kepuasan pengguna dari sisi kualitas layanan.
Nilai Tambah: Berbeda dengan model DeLone McLean yang berfokus terhadap kesuksesan implementasi sistem informasi umum, model penelitian Poelmans et al. mampu menjelaskan kepuasan pengguna dari implementasi WfMS. Dengan menerapkan model Poelmans et al. pada penelitian ini ditemukan bahwa kepuasan pengguna dipengaruhi oleh faktor spesifik mengenai Workflow Management System seperti kualitas input dan output serta kemampuan alokasi dan pengarahan. Namun terdapat perbedaan terkait hasil kepuasan pengguna yang tidak didukung dengan adanya kualitas layanan yang baik.

Context: XYZ company is a manufacturing company that aims to produce high quality ginger candy. XYZ company implements a Workflow Management System (WfMS) using ProcessMaker as a tool to automate work. The implementation of WfMS is expected to make the business processes more effective and efficient. Currently, the evaluation of the WfMS implementation is only carried out from the operational side in the form of a simulation.

Problem: Seeing that there are differences in the simulation results on each business processes although the same WfMS is used, this research aims to broaden the scope of analysis in order to find out the success of WfMS implementation. To create a more comprehensive analysis, The user of technology is taken into account in the analysis. Hence, it is needed to evaluate factors influencing and not influencing XYZ company’s user satisfaction on WfMS ProcessMaker implementation.

Objective: This final project research aims to evaluate and form a recommendation based on the factors that influence the satisfaction of XYZ company’s users on the implementation of WfMS ProcessMaker using Poelmans et al's research study model which will be analyzed using the Partial Least Square - Structural Equation Modeling (PLS-SEM) method. This analysis method is used because it can test hypotheses regarding the relationship between latent variables and observed variables, the PLS method doesn’t require normally distributed data and can up to 200 data.

Method: This final project was executed first by pilot testing, which is followed by distributing online questionnaires and online meetings. The data that has been collected is processed using SPSS and SmartPLS and linked to the research model.

Results: From the analysis conducted, it is found that generally WfMS ProcessMaker have fulfilled the information requirement needed for customer satisfaction. It can be found that input quality is the most significant and positive variable in relation to system quality compared to WfMS’s specific attributes and the system’s general attribute. The benefit of the system usage relies on the quality of information and the quality of the system. The benefit from the system’s user is also a variable that affects satisfaction, alongside the information quality variable and the system quality. However, in this research it is found that there are variables that do not affect the quality of service and the intensity of WfMS usage. This variable is directly related to the user so that it should increase users’ satisfaction. Based on these findings, the recommendation given by the writer is to involve users in the design process as well as to give training and support teams to increase users’ satisfaction towards the service quality.

Value Added: Different from the DeLone Mclean model which focuses on the success of general information system implementation, the Poelmans et al. research model can describe users’ satisfaction based on the WfMS implementation. By implementing the Poelmans et al. model on this research, it can be deduced that users’ satisfaction is affected by specific factors related to the Workflow Management System such as the input and output quality as well as allocation and direction skills. However, there are several differences when it comes to users’ satisfaction which is not supported by the existence of a good service quality.
