Abstract

Setiap perusahaan membangun langkah untuk mencapai tujuan perusahaan, salah satunya dengan melakukan penerapan berbagai proses bisnis. Manajemen proses bisnis yang baik diperlukan untuk dapat memberikan performa maksimal yang dapat dilakukan melalui penerapan workflow management system (WfMS). Salah satu penerapan workflow management system dilakukan PT.XYZ di departemen pengendalian kualitas, perbaikan mesin produksi dan pengukuran kinerja pegawai yang dirangkum pada penelitian sebelumnya. Alasan yang mendorong penerapan WfMS adalah karena proses bisnis masing-masing departemen yang cenderung menggunakan cara manual dalam administrasi maupun pencatatan yang menggunakan beberapa aplikasi.
Namun demikian belum banyak praktek penerapan otomatisasi proses bisnis terkhususnya di Indonesia. Hal ini menyebabkan referensi yang sedikit untuk perusahaan yang melakukan penerapan terkait tahapan otomatisasi. Pemahaman yang kurang menjadikan analisis pasca penerapan otomatisasi tidak jarang terlewati. Analisis pasca penerapan ini berguna untuk dapat melihat kesesuaian hasil penerapan dengan proses bisnis maupun efektivitas proses yang diakomodir.
Pada penelitian ini dilakukan identifikasi hasil penerapan workflow management system yang merujuk pada faktor-faktor penentu keberhasilan penerapan dan akar permasalahan dari kendala dengan menggunakan analisis tematik. Data yang diperoleh dianalisis menggunakan metode analisis tematik dimana terjadi kodifikasi hasil wawancara. Tema yang tersusun sebagai interpretasi faktor pendorong keberhasilan penerapan maupun tantangan. Selain itu, tantangan yang didapatkan dianalisis sebab akibatnya menggunakan root cause analysis.
Proses pengolahan data yang dilakukan menghasilkan hasil validasi dan temuan faktor-faktor penentu keberhasilan penerapan. Adapun untuk faktor-faktornya adalah belum ada karyawan khusus menangani processmaker, pemilihan akses internet yang disediakan, human error, keterbatasan pengaksesan processmaker melalui handphone, beberapa aktivitas pada sistem mengalami upgrade, keterbatasan kustomisasi untuk seri community edition dari processmaker. Selain itu juga didapatkan beberapa akar permasalahan yaitu kurang dukungan top management, human error, keterbatasan pengaksesan processmaker melalui handphone dan keterbatasan kustomisasi untuk seri community edition dari processmaker.

Each company builds steps to achieve company goals, one of which is by implementing various business processes. Good business process management is needed to be able to provide maximum performance which can be done through the implementation of a workflow management system (WfMS). One of the implementations of the workflow management system is carried out by PT. XYZ in the department of quality control, repair of production machines and measurement of employee performance which is summarized in previous research. The reason that drives the implementation of WfMS is because the business processes of each department tend to use manual methods in administration and record keeping using several applications.
However, there are not many practices for implementing business process automation, especially in Indonesia. This causes few references for companies that implement related stages of automation. Lack of understanding makes the post-implementation analysis of automation often missed. This post-implementation analysis is useful for being able to see the suitability of the implementation results with business processes and the effectiveness of the processes being accommodated.
In this study, the identification of the results of the implementation of a workflow management system that refers to the determinants of the success of the implementation and the root causes of the constraints using thematic analysis. The data obtained were analyzed using thematic analysis method where there was a codification of the interview results. Themes are arranged as an interpretation of the factors driving the success of the implementation and challenges. In addition, the challenges encountered were analyzed for their cause and effect using root cause analysis.
The data processing process carried out resulted in validation results and the findings of the determinants of successful implementation. As for the factors, there are no special employees to handle the processmaker, the selection of internet access provided, human error, the limitation of accessing the processmaker through mobile phones, some activities on the system have been upgraded, and limited customization for the community edition series from Processmaker. In addition, several root causes were found, namely the lack of top management support, human error, limited access to the processmaker via mobile phones and limited customization for the community edition series from Processmaker.
