Abstract

Latar Belakang: Perubahan kebutuhan pelanggan dan kemajuan teknologi telah mempengaruhi persaingan bisnis secara signifikan. PT XYZ, yang bergerak di bidang distribusi perangkat keras dan sistem Automation Identification and Data Capturing (AIDC) menghadapi tantangan dalam manajemen persediaan karena proses pengadaan yang masih manual dan berbasis kertas. Perusahaan perlu mengoptimalkan proses bisnis untuk meningkatkan efisiensi dan mempertahankan daya saing di pasar yang semakin ketat. Permasalahan: Perusahaan mengalami kesulitan dalam mengelola persediaan karena ketidakakuratan forecasting akibat tidak adanya data lead time yang tepat, yang disebabkan oleh proses pengadaan rutin yang masih dilakukan secara manual. Akibatnya, beberapa produk tidak terjual dengan baik sementara permintaan produk tertentu tidak dapat dipenuhi karena stok tidak tersedia. Ketidakoptimalan berdampak pada kerugian biaya dan penurunan efisiensi operasional. Tujuan: Penelitian ini bertujuan merancang ulang proses bisnis pengadaan rutin PT XYZ dan menerapkan Business Process Management System (BPMS) untuk meningkatkan efisiensi dan akurasi. Sistem ini diharapkan mencatat waktu tugas dengan akurat, memudahkan pencatatan dan pemantauan lead time, dan memastikan ketersediaan produk sesuai permintaan pasar. Metode: Penelitian mengikuti tahapan siklus hidup manajemen proses bisnis (BPM Lifecycle): Penemuan Proses, Analisis Proses, Rancang Ulang Proses, dan Implementasi Proses. Informasi dikumpulkan melalui wawancara untuk memodelkan proses as-is. Analisis kualitatif dilakukan menggunakan value-added analysis dan root cause analysis. Proses to-be dirancang ulang dan diimplementasikan dengan BPMS ProcessMaker Community Edition versi 3.2.1-0, diakhiri dengan pengujian berupa verifikasi dan validasi. Hasil: Penelitian mengidentifikasi dan mengatasi masalah dalam proses pengadaan rutin PT XYZ. Penerapan ProcessMaker membuat proses lebih efisien dan terdokumentasi, memungkinkan pencatatan waktu akurat untuk setiap tugas. Ini memudahkan pemantauan lead time, menghilangkan tugas tidak bernilai, dan meningkatkan efisiensi. Manfaat: Penelitian ini memberikan manfaat praktis dan teoritis. PT XYZ memperoleh model proses bisnis as-is dan to-be yang lebih efisien serta prototipe sistem otomatisasi siap implementasi. Secara teoritis, penelitian ini memberikan pemahaman tentang penerapan siklus hidup manajemen proses bisnis pada perusahaan distribusi dan menjadi referensi untuk penelitian serupa di masa mendatang.

Background: Changes in customer needs and technological advancements have significantly affected business competition. PT XYZ, engaged in the distribution of hardware and AIDC systems, faces challenges in inventory management due to a procurement process that is still manual and paper based. The company needs to optimize its business processes to increase efficiency and maintain competitiveness in an increasingly tight market. Problem: Inaccurate forecasting due to the lack of precise lead time data, caused by the manual nature of the regular purchasing process, contributes to inventory imbalances. Some products do not sell well while the demand for certain products cannot be met due to lack of stock. This inefficiency results in cost losses and reduces operational efficiency. Purpose: This research aims to redesign the regular purchasing business process of PT XYZ and implement a Business Process Management System (BPMS) to improve efficiency and accuracy. This system is expected to accurately record task times, facilitate lead time management, and ensure product availability according to market demand. Methods: The research follows the stages of the Business Process Management (BPM) Lifecycle: Process Discovery, Process Analysis, Process Redesign, and Process Implementation. Information was gathered through interviews to model the as-is process. Qualitative analysis was conducted using value-added analysis and root cause analysis. The to-be process was redesigned and implemented using BPMS ProcessMaker Community Edition version 3.2.1-0, followed by verification and validation testing. Results: The research identified and addressed issues in PT XYZ's regular purchasing process. The implementation of ProcessMaker made the process more efficient and well-documented, allowing accurate recording of time for each task. This facilitated lead time monitoring and improved inventory management performance, eliminating non-value adding tasks and increasing efficiency. Benefits: This research provides practical and theoretical benefits. PT XYZ gained more efficient as-is and to-be business process models and a prototype automation system ready for implementation. Theoretically, this research provides an understanding of the application of the BPM lifecycle in a distribution company and serves as a reference for similar research in the future.
