Abstract

MyITS Invitation merupakan sistem undangan digital berbasis web yang dikembangkan untuk mendukung kebutuhan Unit Sekretaris Institut (Sekits) Institut Teknologi Sepuluh Nopember dalam membuat, mengelola, dan mendistribusikan undangan resmi. Sebelum sistem ini dikembangkan, proses pembuatan undangan digital masih bergantung pada vendor eksternal sehingga menimbulkan risiko keamanan data tamu, terutama untuk undangan yang melibatkan pejabat, tamu VIP/VVIP, serta menambah biaya operasional setiap penyelenggaraan acara. Kerja praktik ini berfokus pada pengembangan dan penyesuaian fitur MyITS Invitation agar terintegrasi dengan ekosistem MyITS melalui Single Sign-On, memiliki dashboard pemantauan, editor template berbasis canvas, manajemen data tamu, RSVP, QR Code check-in, serta alur persetujuan undangan. Pengembangan dilakukan dengan memanfaatkan frontend berbasis Next.js dan backend berbasis Go, serta menggunakan PostgreSQL sebagai basis data dan layanan penyimpanan objek untuk aset undangan. Hasil pengembangan menunjukkan bahwa MyITS Invitation dapat membantu penyelenggara acara mengelola undangan secara mandiri, lebih aman, terintegrasi, dan mudah dipantau. Sistem ini juga mendukung proses registrasi tamu melalui QR Code sehingga validasi kehadiran dapat dilakukan lebih cepat dan terdokumentasi.

MyITS Invitation is a web-based invitation system developed to support the Institut Teknologi Sepuluh Nopember institute secretary unit (Sekits) in creating, managing, and distributing official invitations. Before the development of this system, the process of generating invitations remained dependent on external vendors, thus bringing about risks to the security of guest data, especially for invitations involving officials, VIP/VVIP guests, as well as increasing operational costs for every event held. This practical work project focuses on the development and adjustment of MyITS Invitation features to integrate it with the MyITS ecosystem via Single Sign-On, complete with a monitoring dashboard, a canvas-based template editor, guest data management, RSVP, QR code check-ins, and invitation approval flows. Development is done by making use of Next.js as the basis for the frontend and Go for the backend, with PostgreSQL as the database and other object storage services to store invitation assets. Development results show that MyITS Invitation can provide help to event organisers in managing invitations independently, safely, integrated, and easy to monitor. Additionally, this system also aids the process of guest registration via QR code, consequently allowing documentation and acceleration of attendance validation.
